If you are located in the European Union or United Kingdom, ClipKoi processes your personal data under the following legal bases as required by GDPR:
(a) CONTRACT: Processing necessary to perform our Services Agreement with you (e.g., delivering videos,
processing payments, providing support)
(b) CONSENT: Where you have explicitly consented to receive marketing emails, cookies, or portfolio usage
(c) LEGITIMATE INTERESTS: Where we have a legitimate business interest that does not override your privacy rights (e.g., sending service updates to existing clients, analyzing website performance, preventing fraud)

- Note: Raw credit card numbers are NEVER stored by ClipKoi. Stripe handles all card data.

PAYPAL
- PCI-DSS compliant payment processor
- Used for: Payment processing
- Location: Global (based on user account location)
LOCAL WORKSTATIONS (Temporary Only)
- Brand assets and production files may be temporarily stored on ClipKoi team workstations during active
production. These workstations are password-protected and encrypted.
- All client files are deleted from local storage within 90 calendar days of project completion.
5.2 SECURITY MEASURES
We implement the following security measures to protect your personal information:

- Encryption in transit (HTTPS/TLS for all website traffic and data uploads)
- Encryption at rest (Google Workspace, GoHighLevel, and Stripe all use encrypted storage)
- Password-protected accounts with strong password requirements
- Two-factor authentication (2FA) enabled on all ClipKoi team accounts

ORGANIZATIONAL SAFEGUARDS
- Access to client data is restricted to ClipKoi team members who require it to perform their duties
- All team members and contractors sign Non-Disclosure Agreements (NDAs) prohibiting unauthorized access or disclosure of client data

5.3 DATA BREACH NOTIFICATION
In the unlikely event of a data breach that affects your personal information, we will:

09. DATA RETENTION

9.1 CLIENT DATA RETENTION SCHEDULE
ACTIVE CLIENTS (During Engagement)
- All client data retained for the duration of the active Services Agreement
AFTER CANCELLATION OR TERMINATION
- Business contact information: Retained for 3 years for legal, tax, and accounting purposes
- Payment records and invoices: Retained for 7 years (required by Singapore tax law)
- Brand assets (logos, headshots, property photos): Deleted within 90 calendar days of project completion
- Video production files: Retained for 90 days after final delivery, then deleted unless client requests long-term archival
- Lead databases (ManyChat, GoHighLevel): Remain under client's control. ClipKoi's access revoked immediately upon cancellation.
MARKETING COMMUNICATIONS
- Newsletter subscribers: Retained until you unsubscribe
- Marketing emails to past clients: Retained for 3 years or until you opt out
9.2 WEBSITE DATA RETENTION
- Google Analytics data: Retained for 26 months (Google's default setting)
- Website logs (IP addresses, access times): Retained for 90 days
- Contact form submissions: Retained for 2 years
9.3 YOUR RIGHT TO REQUEST DELETION
You may request deletion of your personal data at any time by contacting us at support @ clipkoi.com. See Section 10 for details on your data subject rights.
10. YOUR RIGHTS AND CHOICE
You have the following rights regarding your personal information:
10.1 ACCESS
You have the right to request a copy of the personal information we hold about you. To request access, email support @ clipkoi.com with the subject line "Data Access Request".
We will respond within 30 calendar days and provide the information in a commonly used electronic format.
10.2 CORRECTION
If any of your personal information is inaccurate or incomplete, you have the right to request correction. Email support @ clipkoi.com with the updated information.
10.3 DELETION (RIGHT TO BE FORGOTTEN)
You have the right to request deletion of your personal information in the following circumstances:
- The data is no longer necessary for the purposes for which it was collected
- You withdraw consent and there is no other legal basis for processing
- You object to processing and there are no overriding legitimate grounds
- The data has been unlawfully processed

10.8 OPT OUT OF PORTFOLIO USAGE
By default, ClipKoi may feature client videos in our portfolio and reference client results in case studies.
To opt out of all portfolio usage, email support @ clipkoi.com with the subject line "Portfolio Opt-Out" within 14 calendar days of first delivery.
We will acknowledge your request within 2 Business Days and will not use your videos or results in any public marketing materials.
10.9 WITHDRAW CONSENT
Where we process your data based on consent (e.g., marketing emails, cookies), you have the right to withdraw consent at any time. Withdrawal does not affect the lawfulness of processing before withdrawal.

ClipKoi operates from Singapore, but our service providers are located globally, including in the United States and Europe. This means your personal information may be transferred to, stored in, and processed in countries outside of your country of residence.

ClipKoi's services are intended for business professionals (real estate agents, business coaches & SMEs) and are not directed at children under the age of 18.
